How do facility requests work? (Recreation Centers, Pool, Clubhouse and Wildwood Park Picnics/Stage)

Once you have submitted a request online a staff member will review your request. Upon review, staff will request insurance and an invoice will be created on your account that you can pay online or in person. Once payment and insurance are accepted your rental is confirmed and approved.

How do facility bookings work? (Parks - Tennis, Picnic, etc.)

You will book and pay for the space online. Once completed you can print your permit from the checkout screen or from your email.

Can I teach programs, sell tickets, sell items, or fundraise in facilities?

You may not teach programs or charge for entry, or sell items at a rental event. To teach programs please apply here

501c3 Non-profit organizations may hold fundraisers but will not receive a discounted rate for rentals. Copy of 501c3 letter required.

What requirements are needed to Rent all of Wildwood Park

Requirements for approval include:
1. an approved City of Saratoga Special Event Application

2. An event map submitted to the City of Saratoga

3. Requirements for approval include an approved City of Saratoga Noise Exception Permit Application

What is the cancellation Policy?

Outdoor Reservations
Non-Refundable

Indoor Reservations
Less than 30 days notice, 100% of the deposit and rental fee are forfeited
More than 30 days notice, Deposit is forfeited, rental fee is refunded

 

 

Alcohol Policy - Los Gatos Centers

Alcohol is not allowed at the Youth Recreation Center or Adult Recreation Center

Alcohol Policy - Saratoga Centers

Alcoholic beverages are not allowed in the Rental except with pre-approval and purchase of alcohol permit by LGS Recreation and subject to all applicable alcoholic beverage control laws and meet the following criteria:

Events larger than 30 people where alcohol is consumed require one security guard and events larger than 100 people require two security guards unless Group provides LGS Recreation with information demonstrating that such security is not required, and this requirement is waived by LGS Recreation.

A copy of the security personnel’s license and the contract for hire must be submitted at least 30 days prior to the event.
Sale of alcoholic beverages or charging an admission price, which includes alcoholic beverages requires (at Group’s expense), the appropriate license from the Alcoholic Beverage Control Dept. A 24 hour liquor license can be acquired at: Alcoholic Beverage Control Dept., 100 Paseo de San Antonio, Suite 119, San Jose, CA 95113. (408) 277-1200.
Beer and wine only are permitted. No hard alcohol is allowed.

Alcohol Policy - Parks

Beer and wine is allowed, but no hard liquor is permitted in City of Saratoga Parks. Groups of 30 or more must obtain an alcohol permit.

Beer and wine bottles should be removed from the park at the conclusion of the rental. Please plan to bring extra trash bags to transport.
